Speaker Bureau Workflow: Inquiry, Booking, Fulfillment

A speaker bureau is a three-sided business. Speakers, event buyers, and the bureau in the middle matching them. The bureau makes money when the match is fast, the contract is clean, and the event goes off without the bureau having to firefight.

The typical bureau runs on a CRM, a calendar, and email. That works at low volume. At real volume the cracks are obvious: slow responses to inquiries, speakers double-booked, contracts incomplete at event day, and fulfillment chaos that burns the relationship with the client.

Inquiry Intake With Qualification

A corporate event manager sends an inquiry. Budget, date, audience, format, topic. The bureau that responds with a short list of fit speakers within hours wins the event. The bureau that responds in days loses.

We build a structured inquiry form that captures everything needed to match. Budget band, date range, virtual or in-person, location, audience size, industry, desired outcomes. The inquiry becomes a record. The coordinator sees it inside minutes and starts the match.

Speaker Matching

A good speaker match is not just topic fit. It is fee fit, date availability, location feasibility, past audience match, and the speaker's style for the room.

Hotel booked. Ground transport confirmed. Introduction written. Book inventory shipped if relevant. Pre-event call scheduled.

Day-Of and Post-Event

Speaker Development and Payment
